Junior League of Peoria Office Staff Job Description

Work Schedule:
        Average 10 -15 hours per week; 35-55 per month
Higher demand pre-event weeks

(*Flexible days and times to be determined by mutual agreement)

 

Job Responsibilities:  Primary responsibility is to manage the operation of the office of the Junior League of Peoria, 114 State Street, Suite 2A, Peoria, Illinois

  • Answer telephone and monitor JLP email. Forward messages and emails to appropriate League members.  Follow up with telephone calls regarding urgent matters
  • Open and distribute all mail to appropriate League member mail slots
  • Process incoming payments and expenses for Treasurer
  • Maintain inventory of office supplies and manage purchases in accordance with office budget
  • Maintain computer software, hardware and copy machines at JLP Headquarters and call for needed repairs
  • Maintain annual bulk mail permit and monitor bulk mail account balance
  • Purchase and maintain postage stamps for office
  • Maintain database of past and present members, process resignations, transfers, deaths, new members, status changes and inform appropriate team members of changes, consent agenda, update email lists, update AJLI online, dues mailings and track all dues payments
  • Serve as liaison and contact to AJLI on all League matters and distribute information and requests to appropriate parties
  • Dues – send statements mid-February, payment due March 31st; submit changes to AJLI by June 15th. Invoice comes in early July.  Review and reconcile statement and request check from Treasurer
  • Document Annual Giving donations and create thank you letters for President’s signature
  • Create and distribute communications for President, President-Elect and Treasurer, as well as other leadership
  • Update and maintain various listings, such as Management Team, Governance Board and distribute when necessary
  • Create, copy, print, collate files for events and meetings as requested by leadership
  • Create labels and name tags as requested by leadership
  • Maintain and organize pertinent League documents in accordance with AJLI and JLP bylaws and IRS guidelines (hard and electronic copies)
  • Coordinate and schedule needed repairs to JLP Headquarters
  • Tidy up JLP headquarters, vacuum floors as needed, shred confidential documents, clean conference tables and empty trash cans
